EXECUTIVE ASSISTANT TO THE PRESIDENT/CHIEF EXECUTIVE OFFICER NEW YORK The Business Council for International Understanding (BCIU) was formed in 1955 by President Eisenhower to encourage a broader international understanding of the principles of private enterprise and political democracy essential to prosperity and freedom. BCIU has pursued this mission by (1) training thousands of U.S. Ambassadors to promote American business around the world; (2) hosting foreign leaders (e.g. Presidents, Finance Ministers, etc.) with U.S. prospective investors to promote opportunities in their countries; and (3) advise executives and government officials on facilitating trade and investment. BCIU is fully integrated into the business and diplomatic circles in New York and Washington. BCIU also delivers meetings, events and activities throughout the U.S. and in cities around the world and is becoming an increasingly global organization. Executive Assistant will enable the President to serve the organizations Board and major accounts, and collaborate with business unit heads to increase the organizations global impact, revenue and communications presence. Position requires administrative efficiency, judgment, passion for international mission, strong work ethic and team spirit, patience and dedication to completing Presidents immediate and longer-term objectives. Reports directly to President & Chief Executive Officer. Responsibilities and Duties include: Manage Presidents calendar, contact database, travel, tech support/spot training, drafting, set appointments, and daily call list. Detailed list below. Strategically manage CEOs time. Organize and manage calendar. Handle travel arrangements and itineraries. Perform necessary tasks to aid in the preparation of meetings, events and travel schedule. Aid in the follow up of recent meetings and opportunities. Technological support and training. Perform administrative duties including managing contacts. Participate in regular meetings with the COO to discuss operational issues. Assess inquiries directed to the CEO, determine the proper course of action and delegate to the appropriate individual to manage in consultation with the CEO. Ensure all staff requests for the CEO are addressed properly, efficiently and judiciously, and keep track of progress until resolved. Ability to streamline and improve processes to handle the heavy work load of the CEO. Assist with Board preparation and Board relations, as needed. Interact with the Board of Directors. Ability to handle confidential information. Creating and editing proposals, letters and documents. Brand management on social media. Work efficiently in CEO-COO-CFO team by building trusted, confidential relationships with parties. Coordination of the leadership team, including managing calendar. Maintain a high level of professionalism among staff, leadership and external partners. Work strategically and collaboratively across all units. Understand and evaluate progress based on adherence to KPIs. DESIRED SKILLS & EXPERIENCE Bachelors degree, with coursework in business and accounting preferred. 2-4 years of experience in international business, international business or membership association, U.S. executive branch or Congress, New York City or State government, business consulting, PR, advertising, banking, paralegal, or UN agencies. Proven track record of effectively interacting with senior management. Outstanding verbal communication and strong presentation skills. Strong writing skills for clear and concise memos, letters, proposals, and other correspondence. Creation of presentations. Excellent managerial, interpersonal and teamwork skills. Effective time management skills having the ability to handle multiple competing priorities in a fast-paced environment, ensuring timely delivery, monitoring and documenting progress. Motivated self-starter and adaptable individual with strict attention to detail and deadlines, outstanding organizational skills. Strong project management and event planning experience. Advanced web and database research capabilities. Advanced Microsoft Office (Word, Excel, PowerPoint) skillset. Experience with Monday.com, Google Docs, video editing (e.g. Final Cut Pro), and graphic design software highly useful. Social media brand management: Twitter, Linked-in, et. al. Based at Headquarters in New York City.
